A prediction only creates value when it becomes the right action at the right time, and that handoff happens in the work order. A vague work order wastes the lead time predictive maintenance buys you. With repair and maintenance costs rising 8.6% in 2025 (ATRI), the gap between a planned fix and a roadside failure often comes down to what the work order actually tells the shop.
1. The specific component and predicted failure window
Not “inspect the DPF.” Name the component, the fault pattern, and the window: this part is likely to fail in the next two to three weeks. That window is the entire point of predictive maintenance. It tells the shop the job is not an emergency today, but it cannot wait for the next scheduled PM either. A failure window turns a guess into a scheduling decision.
2. The evidence behind the prediction
The technician should be able to see why the vehicle was flagged: the telematics signals and how they drifted from this truck’s own normal baseline, such as rising exhaust temperature, more frequent regens, or changing load and idle patterns. This is predictive maintenance, working off telematics data, doing its job. When the reasoning is visible, the technician can confirm it quickly instead of starting diagnosis from zero. The system should hand over the evidence, not leave the tech to reconstruct it.
3. A recommended next action
Detection alone is not enough. A useful work order states the recommended course of action to resolve the issue, not just that something looks wrong. Replace this part, inspect this connected system, adjust this setting. The recommendation gives the technician a clear starting point, and their judgment decides the rest. The goal is to support the technician’s expertise, not to replace it.
4. Priority and downtime risk
A shop always has more work than hours. The work order should rank the job against everything else in the queue and spell out what happens if it slips: which truck comes off the road, what the failure would cost, how it disrupts routes. Priority tied to operational impact is what lets a maintenance director sequence the week deliberately instead of reacting to whoever shouts loudest.
5. Parts, labor, and the service window
The last mile is logistics. The work order should list the parts required, the estimated labor, and the best window to do the work so it can be batched with other service and booked before the failure reaches the road. This is where fleet maintenance software, driven by AI, earns its keep: closing the gap between knowing a truck is at risk and having the parts staged and a bay scheduled.
